PART-TIME OPERATIONS MANAGER 

Location: Boroughs of Elmbridge & Richmond 

£17,160 p/a + performance bonus + company share (part time – 2 days p/w or equivalent)   

We are searching for a talented Operations Manager who can provide inspired leadership, improve current processes and maintain & develop high standards.   

 

Core Responsibilities will include:  

Financial Planning – Management of budgets and cashflow 

Personnel – Management of new and existing team members 

Venue Management – liaising with managers, sourcing new spaces and negotiating venue advertising space  

Events – Planning and overseeing projects including productions  

Supplier management – liaising with and managing suppliers  

 

Additional Responsibilities will include:  

Creating new and updating existing policies 

Organizing training 

Carrying out risk assessments 

Overseeing GDPR & Safeguarding compliance   

Maintaining technical support and online internal communications  

Effectively communicating company policies and procedures to team members 

Improving current processes ensuring sustainability is embedded in all areas of work and future thinking 

 

Key Skills: 

Familiarity with operational concepts, practices, and procedures. 

Multitasking 

Ability to implement processes and procedures to ensure higher productivity and efficiency.  

Practical knowledge of budgeting and monitoring the profit and loss statements 

Ability to create a good plan and determination to accomplish goals

Essential Experience & Qualifications  

Extensive knowledge of organisational effectiveness and operations management  

Minimum of three years’ experience in ops/project management or similar roles.  

Experience in budgeting, including profit and loss & cash-flow management   

A degree in business management/similar.  

Ability to use Microsoft Office: Outlook, Word, Excel

Highly organized, Motivated, Strong People/Communication Skills, Team Player, Assertive, Confident, High Efficiency & Productivity, Commercially Minded, Business Focussed and an Eye for Detail. 

The successful candidate should ideally have an understanding of theatre and the arts and experience of working in commercial educational environments.   

Contract Terms and Benefits 

This role is part time (2 days per week/equivalent).  Dramacube is a Limited Liability (Educational) Partnership and whilst this role is ongoing, you will be contracted as a partner on a self-employed basis.   

This role has a 3-month probation period. The notice period during probation is 2 weeks for both team member and Dramacube LLP. 

Standard post probation notice period is 3 months for both team member and Dramacube. 

This position will report directly to the Managing Director, work closely with the Marketing Manager, be supported by an Administrative Assistant. 

This position is mostly working from home and visiting our venues across the boroughs of Elmbridge & Richmond.  Working hours are flexible with the exception of event days.  Please note some event days fall during the school holidays/weekends/evenings.  Applicants should be based in/nearby to the boroughs of Elmbridge or Richmond.

Expanded Role Information

Renewing agreements with existing venues 

Establishing term and holiday dates and booking space at existing venues.

Checking in with venue managers to make sure they are happy. 

Being aware of other events at locations which may impact on regular classes.

Booking Performance Venues

Establishing production week dates.

Booking space at existing/new venues.

Liaising with venue manager regarding production details. 

Sourcing venues

Developing relationships with venue managers at theatres, Universities, Colleges and Schools and sourcing suitable new venues for classes, rehearsals and holiday workshops when required.

Negotiating  advertising at venues

Negotiating advertising opportunities in the form of banners, posters, flyers and social media.  

Booking Teams

Directors, musical theatre teachers, drama teachers, assistants, set designers, costume designers, lighting designers, sound technicians, FOH, volunteers.

Cover Teachers

Booking cover teachers, liaising with class teacher/director to provide lesson plan/brief, forwarding relevant venue details (alarm, key, security codes etc)

Work Experience

Liaising with the administrator and creative team to offer students work experience and DoE placements and providing references
Recruitment
Advertising for, interviewing and appointing new team members 

Obtaining references

New Starter Packs

Creating/updating and sending NDA’s/Non-Competition/Contract of Self Employment/Team information document to new starters.

Term/ Workshop agreements

Creating termly agreements for teaching team stating working hours, dates and fees

Staff handbookCreating/updating a staff handbook setting out ways of working to create the right environment, work safely and comply with company policy

FOH Training

Giving FOH / Box Office training to new starters.

Setting annual budget

Setting annual budget based on projected income. 

Setting termtime budgets

Setting budgets each term for venues and staffing. 

Setting production budgets

Setting production budget for venue, set & costume design & tech. 

Setting Workshop budgets

Setting budgets for venues, staffing and resource.  

Monitoring Budgetary Spend 

Monitoring spend and ensuring the company activity remains within budget.  

Approving invoices

Checking weekly invoices before approving for payment 

Weekly Finance Meeting

Weekly finance meeting with administrator ensuring outstanding balances have been chased and collected 

Performance Rights

Liaising with artistic director and MD on show titles

Booking show

Ordering scripts and distributing them 

Workshop Materials and Equipment

Liaising with teaching team on workshop resources

Overseeing ordering and delivery 

Overseeing & distributing branded merchandise

Liaising with designer and printer

Liaising with marketing manager and administrator on promotion

Overseeing ordering and distribution

Manage Hosting 

Liaising with companies who support our website, email and domain hosting

Managing Tech. Support

Liaising with tech. comms providers as required, dealing with issues, renewing contracts and setting up payments 

Rehearsal & Class Schedules

Setting dates and venues 

Overseeing and checking schedules 

Workshop pre-event information

Providing details and checking pre-event information 

Team meetings 

Attending team meeting with management team 6 times p/a 

PL insurance

Researching and booking annual PL insurance

Risk Assessments

Complete RA checks annually across venues

Safe Guarding Policy 

Complete annual update of safeguarding policy and share with team 

Anti Bullying Policy 

Complete annual update of anti-bullying policy and share with team

Term & Conditions 

Complete annual update of company terms and conditions 

DBS Checks 

Ensuring all teaching staff have updated DBS certificates 

Ensuring all new staff are DBS checked

First Aid Training

Arranging and annual first aid training day 

Attending Rehearsals

Attending each cast rehearsal and class at the start of term, ensuring the venue is set up correctly and the signage is clear

Checking in at Rehearsals

Checking in on classes and rehearsals once per term to ensure sessions are being run in line with correct format

Attending holiday workshops

Attending day one of holiday workshops, ensuring the venue is set up correctly, signage is clear, overseeing the sign in and sign out process, being the parent point of contact and the venue point of contact

Attending performances

Attending performances, overseeing FOH and box office and being the theatre point of contact
